Automatically Delaying All Sent Messages in Outlook

Summary

If a user is concerned that they might send a message before they are truly ready to send it, an automatic delay can be introduced to every sent message to allow an opportunity to correct mistakes before sending.

  1. In Outlook (desktop app), click on the File tab

  1. Click Manage Rules & Alerts

  1. Click New Rule

  1. Select Apply rule on messages I send - click Next

  1. If this delay should be applied to all messages sent, click Next
  2. Answer Yes

  1. Select defer delivery by a number of minutes

  1. Under Step 2 Edit the rule… - click on the underlined value and enter the number of minutes to delay the message. Click OK

  1. Click Next
  2. If you would like to add any exceptions to the rule, you may do that on the next screen. For example: create an exception so that messages marked with High Importance are not delayed. Click Next
  3. Give the new rule a name such as “Send delay”
  4. Under Step 2 Setup rule options, make sure that the check box next to "Turn on this rule" is checked, and click Finish
  5. Messages will be queued in the Outbox folder until the set time has elapsed.
